Common HRIS Integration Errors

Note: After reading through the cause and solutions for these errors, if you are in any doubt as to the exact change you need to make, contact support@betterworks.com.

Error: User cannot be his/her own manager

Cause: User cannot be his/her own manager.

Solution: Check the field(s) in the row indicated against the manager_id and manager_email column headers.

Error: Invalid JSON file

Cause: Syntax issue within the JSON file, JSON file sent to betterworks is size 0, or could be due to a betterworks SFTP Server Issue (will appear as 0 byte file on the betterworks side).

Solution: Open the JSON change file in a code editor and look for a syntax issue such as a superfluous comma.  Sending a file of 0 length will also cause this so be sure to check for that.  If necessary, reach out to betterworks support in case it may be due to an SFTP server issue.

Error: Email address is required

Cause: no email address in the row that corresponds to the email address column header.

Solution: Add a valid email address for the indicated row.

Error: Could not find manager email: jsmith @ company.com

Cause: Manager does not have a betterworks account.

Solution: Add the manager to the change file so the manager can be added to betterworks.

Error: Multiple active users cannot share an email address.  Employee ID is required to reuse email addresses

Cause: The same email address for user creations was entered for 2 or more users in your change file.

Solution: Check the email address field for the indicated rows and correct the duplication.

Error: Multiple active users cannot share an email address.

Cause: The same email address for user creations was entered for 2 or more users in your change file and you are using employee IDs.

Solution: Check the email address field for the indicated rows and correct the duplication.

Error: name.com is an invalid domain

Cause: a) The domain either cannot be used (gmail.com, yahoo.com, etc) or b) if this is a company domain and you want users with that domain to be able to login to betterworks, this means the domain is not setup in betterworks.

Solution: a) If the email address in the row listed in the error has a gmail.com, yahoo.com, or other such similar domain, change the email address to a valid company email address that has been setup in betterworks.  b) If this is a company domain and you want users with that domain to be able to login to betterworks, contact support@betterworks.com and we will discuss with you how to enable this.

Error: Could not find manager employee ID: NO_MANAGER

Cause: Invalid manager ID

Solution: For the row indicated, either add a valid manager ID or leave the field blank.

Error: Could not find manager employee ID: 123456

Cause: The manager ID listed does not exist in betterworks

Solution: Check the row indicated to verify the error.  Either add a new entry in your change file to add the manager with that manager ID or update the manager ID in case it was entered incorrectly.

Error: Row is missing an employee ID

Cause: The provisioned user in betterworks has an employee ID

Solution: Check the email address in the row indicated.  Add the employee ID that corresponds to that email address.

Error: Could not find manager email: jsmith @ gmail.com

Cause: The manger with that email address does not exist in betterworks.

Solution:Check the row indicated to verify the error.  Either add the manager in betterworks or correct the email address if it was entered incorrectly.

Error: Email already taken by employee ID: 123

Cause: The email address is in use by the employee with the ID mentioned.

Solution: Locate the row and find the employee with the ID mentioned and make changes as appropriate.

Error: First name cannot be empty

Cause: For the row mentioned, a first name was not entered in the field that corresponds to the first_name column header.

Solution: Add a first name in the row listed.

Error: Last name cannot be empty

Cause: For the row mentioned, a last name was not entered in the field that corresponds to the last_name column header.

Solution: Add a last name in the row listed.

Error: Multiple rows with employee ID: 123

Cause: One or more rows in the change file contain the employee ID listed

Solution: Correct the duplication in the change file.

Error: Employee ID is required to reuse email addresses

Cause: Most likely a deactivated user with the email address you are trying to update is assigned that email address

Solution: Reactivate the deactivated user. Update the email address. An easy update will be to add _old before the @ sign in the email address. Deactivate the user again. Then make the update that was giving you the problem.

Manual Bulk CSV Errors - Preview Pane

The errors listed above in the Common HRIS Integrations Errors section, with the exception of the Invalid JSON file error, also can occur in the preview pane and have the same causes and solutions.

(*) Erroneous entries in the rows will be removed, and the rows will still be processed - This means that just the field with the issue will not be processed.  The rest of the row that is still valid will still process.  However, not adding something like and email address, will cause the entry not to process completely.
