OKR Team Edition: Configuration Checklist

Prior to attending our Platform Configuration webinar, review the below decisions points that will be covered. 

  1. Name your OKR and Conversation Modules
  2. Set your Time Zone, Language, Business Calendar
  3. Provide Support Access
  4. Define your OKR Categories

  6. Understand and Confirm OKR Assessment Configuration

1. Name your OKR and Conversation Modules

  • Location: Platform configuration > Naming
  • Recommendation:

  • Implications:
    • Updates the naming convention for the platform in the following areas:
      • Top navigation bar
      • Within each module
      • Email notifications

2. Set your Time Zone, Language, Business Calendar

  • Location: Platform configuration > Time Zone
  • Recommendation: Set this to the Time Zone of your HQ
  • Implications:
    • Scheduled notifications from Conversation Templates are sent around 8am of this Time Zone 
      * Note: Team Edition is only available in English, at this time*
  • Location: Platform configuration > Business calendar
  • Recommendation: Set to the date that the fiscal year ending this calendar year (i.e. if this year is 2019, set to the end of FY2019). Divide this quarterly.

  • Implications:
    • The default end date for new goals will be set at the end of the current quarter
    • All date pickers will be by quarters

3. Provide Support Access

  • Location: Platform configuration > Security > Support Access
  • Recommendation: Open access
  • Implications:
    • Allows Betterworks support to access your org for troubleshooting

4. Define your OKR Categories

  • Location: Program management > Objectives Settings > Categories
  • Recommendation:

  • Implications:
    • Allows for additional filtering for custom filters that can be created by each user
    • Allows for additional reporting filtering for administrators

5. Understand and Confirm Team-Owned Objectives Enabled

  • Location: Name drop down menu > Teams
  • Recommendation: Allow users to create their own cross-functional teams to own Objectives
  • Implications:
    • Each user is able to create their own Teams and assign Objectives to this Team
    • If an individual is part of a team, the objective will show in their "My Objectives" filter, even if they do not directly own a Key Result

6. Understand and Confirm OKR Assessment Configuration

  • Location: Program management > Objectives Settings
  • Recommendation:

  • Implications:
    • Progress made against a goal is already tracked through regular progress updates
    • Less asks for your employees when just starting this program

7. Configure Your Quarterly Conversation

  • Location: Program management > Check In settings > New scheduled check in
  • Recommendation: Follow Configuring Conversations here and use below questions -

  • Implications:
    • Creates an opportunity to reflect on the last quarter's OKRs and plan for the coming quarter

8. Set Program Emails

  • Location: Program management > Program emails
  • Recommendation: Set to 14 days after the start of the business period. Turn all on.

  • Implications:
    • Automated emails will be sent to all employees based on the dates set relative to the due date

9. Enable System Notifications

  • Location: Program management > System notifications
  • Recommendation: Turn all on, then click Save. The option then will move back to Custom.
  • Implications:
    • All activity will trigger email notifications
    • Users can update their notification settings in My settings

10. Set Top Company Objectives

  • Location: Program management > Objective management
  • Recommendation: Input the Top Company Objectives, owned by individual executives. Select the right objectives each quarter to add to the filter. Keep adding to the list each quarter (do not remove any from bottom list).
  • Implications:
    • The currently active objectives identified will show in the Top Company Objectives each quarter
    • All past Top Company Objectives will be available when users go to past quarters
