Engage: Linking Action Plans to Betterworks OKRs

Introduction

Engage action plans help managers take relevant actions based on survey/poll results to build engaged teams. For more information on actions plans, see our Creating An Action Plan article. With this capability, it will:

  • Enable managers / people leaders to create transparency about the actions by sharing the actions with the teams

  • Enable employees to check on and contribute to their manager’s /organization’s action plans

  • Close the loop between People and Strategy by enabling managers to take the most effective action to build an engaged team; help Managers move from Listening to Doing

While creating action plans, the users will be able to add those as an:

  • Objective

  • Key result for an objective

Note:

To utilize this offering, customers must have subscriptions to both Betterworks and Betterworks Engage services. For more information on how to update your subscription, please contact your CSM or support@betterworks.com.

 

Creating an Action Plan as an OKR

1. Click on the create action plan “wrench” button from anywhere in Engage (e.g. the below screenshot has the button shown under Survey Reports→ Opportunity areas)

2. Select an action plan template or create one from scratch

3. In the action plan screen, you will see the toggle to add the action plan as an OKR. The toggle is on by default. You can turn it off in case you are not ready to elevate the action plan as an OKR yet. You will be able to convert it to an OKR later.

4. Select the “Create a new Objective” radio button and then click on the “Create the action plan” button

5. The Action plan will be created in Engage and an Objective will also be created in the Betterworks OKR platform

6. Clicking on the “View Objective” link will take you to the Objective in the OKR module

Notes:

  • If the user is already logged into the Betterworks platform, clicking on the link of the objective, will take the user to the respective OKR page in Betterworks platform
  • If the user is not logged into the Betterworks platform, clicking on the link will take the user to the login page, and redirect to the respective goal, post login to the Betterworks platform

Deleting an Action plan which was created as an objective

  • The users will be able to delete the action plan (depending on the permissions setup in Engage) from the action plan center

  • The users will also be able to delete the objective (created from action plan) from the Betterworks platform

  • Deleting an Action plan should not delete the lined objective and vice versa (deleting the objective in the Betterworks platform should not delete the Action plan in Engage)

1. Select the “Create a Key Result contributing to an existing Objective” radio button and click on “Choose an Objective” to select an Objective to which this action plan will be created as a KR

2. Select the Objective, you can also change it post-selection, by clicking the “Change Objective” button

Note: You can select any objective owned by you (as the user logged in to Engage, who is creating the action plan) or any public objective within your organization. You can also search either by the objective’s name or the owner of the objective.

3. Click on the “Create Action Plan” button

4. The Action plan will be created in Engage and a KR to the selected Objective will also be created in the Betterworks OKR platform. Clicking on the “View Key Result” button will take you to the Objective under which the KR was created

Note: Even if the OKR creation in the BW module fails, the Engage action plan will still get created and you won’t be blocked from creating the action plan. You can still edit the action plan and try adding the OKR again, or navigate to the BW OKR platform and try creating it from there.

Deleting an Action plan which was created as a KR to an objective

  • The users will be able to delete the action plan (depending on the permissions setup in Engage) from the action plan center
  • The users will also be able to delete the KR (created from action plan) from the Betterworks platform
  • Deleting an Action plan should not delete the linked key result and vice versa (deleting the KR in Betterworks platform should not delete the Action plan in Engage)

Editing an Action plan to add as an OKR (how to update action plans that have already been created into Objectives or Key Results)

Action plans that were not added as OKRs can be edited later and updated as OKRs

 

1. In the View action plan page, click on the “Create OKR” or “Edit action plan” button

2. The “Add to my OKRs in Betterworks” toggle will be seen, you can proceed to add it as an OKR

Notes/FAQs for Action plan as OKRs

The following fields will automatically be passed on from Action plan to the corresponding Objective

  • The same mapping will exist for action plan as KR, but there won’t be any category set
  • The objective’s category will be set as “Engage Action Plan”, so that users can easily filter out Engagement objectives (created from action plans) in the OKR module
  • There is no 2-way sync between the action plan and the corresponding OKRs currently. I.e. making any change to the action plan in Engage will not update the corresponding OKR in the BW OKR module and vice versa
  • To track which users have OKR as action plans, the following configurations would need to be set up in the BW core app for AP->OKRs to function properly
    • OKR categories should be enabled
    • “Engage Action Plan” should be added as a category
    • The company should have “Public Objectives” enabled. Engage action plans as OKRs will be effective only if the created OKRs are shared publicly so that employees can track and contribute to those OKRs

FAQs

Who will be able to see my OKRs in Engage to select as part of their action plans?

The Betterworks OKR permissions will flow to the Engage platform. Only users that have view access in Betterworks would be able to see the OKRs as potential options to connect action plans to. 

If I make changes to the objective or key result name in Betterworks, will that show in Engage?

No, that information does not automatically flow over. Edits made directly in Engage or in Betterworks will only show on the corresponding platform.
