Engage: Linking Action Plans to Betterworks OKRs

Introduction

Engage action plans help managers take relevant actions based on survey/poll results to build engaged teams. For more information on actions plans, see our Creating An Action Plan article. With this capability, it will:

  • Enable managers / people leaders to create transparency about the actions by sharing the actions with the teams

  • Enable employees to check on and contribute to their manager’s /organization’s action plans

  • Close the loop between People and Strategy by enabling managers to take the most effective action to build an engaged team; help Managers move from Listening to Doing

While creating action plans, the users will be able to add those as an:

  • Objective

  • Key result for an objective

Note: To utilize this offering, customers must have subscriptions to both Betterworks and Betterworks Engage services. For more information on how to update your subscription, please contact your CSM or support@betterworks.com

Creating an action plan

  • The user will be able to see an option to select Add to my OKRs in Betterworks → Create a new objective, through a toggle, which will be on by default

Action plan as an objective:

  • After selecting the option to create a new objective, and clicking on Create the action plan:

  • The action plan will be created in Engage and user will be a shown the message that their Action plan is published

  • The respective objective will be created in the Betterworks platform

User will be shown the link to the objective created in Betterworks, along with the following metadata about the objective:

  • Name of the objective 

  • Assigned to

  • Due date

Notes:

  • If the user is already logged into the Betterworks platform, clicking on the link of the objective, will take the user to the respective goal page in Betterworks platform
  • If the user is not logged into the Betterworks platform, clicking on the link will take the user to the login page, and redirect to the respective goal, post login to the Betterworks platform

Editing an action plan which was created as an objective

  • The users will be able to edit the Action plan on Engage by clicking on Action plan→ Edit , in the action plan center page

    • Users can click on the “View Now” CTA in the View Action plan and Edit Action plan page to go to the objectives page in Betterworks

      • Note: Users can use this link to make changes to the objective’s properties which are not available in Engage (Align up, Progress settings, Privacy)

  • The users will also be able to edit the objective (created from the action plan), through the Betterworks platform

  • Users will be able to link an objective to the Action plan, where no objective or key result was linked at the time of creation of the particular Action plan

    • They will be able to Edit the respective Action plan and select the toggle to create an objective for the Action plan

  • Any edits to the Action plan made from Engage, will not flow to the Betterworks platform

    • Action plan name, description

    • Due date

    • Assignee

    • Status 

  • However, the edits made to an Action plan, should get reflected in Engage

  • Any edits made to the objective from Betterworks platform , will not flow to the Engage platform

    • objective name, description

    • Due date

    • Status

    • Assignee

  • However, the edits made to the objective, should get reflected in the Betterworks platform

Deleting an Action plan which was created as an objective

  • The users will be able to delete the action plan (depending on the permissions setup in Engage) from the action plan center

  • The users will also be able to delete the objective (created from action plan) from the Betterworks platform

  • Deleting an Action plan should not delete the lined objective and vice versa (deleting the objective in the Betterworks platform should not delete the Action plan in Engage)

Action plan as a key result

Creating an action plan as a key result

  • The user will be able to see an option to select Add to my OKRs in Betterworks → Create a key result contributing to an existing objective, through a toggle, which will be on by default

    • The user will be asked to select the objective to which the key result will contribute to, in Engage
    • User should be able to “type ahead” and see the list of objectives where either the objective name OR the Owner name matches.User will be able to select from their own goals or from Active Public company goals
  • Only goals with permissions as Public will be shown in the Public company goals section

  • The time period for these active public goals will be AP create/Edit date+1 year, so all public goals which are active within 1 year from the created date

    • Will create the action plan in Engage and user will be a shown the message that their Action plan is published

    • The respective key result will be created in the Betterworks platform as per the following mapping logic between Engage action plan and Betterworks key results fields

    • User will be shown the link to the KR created in Betterworks, along with the following metadata about the KR:

      • Name of the KR

      • Assigned to

      • Due date

    • If the user is already logged into the Betterworks platform, clicking on the link of the key result, will take the user to the respective linked goal page in the Betterworks platform

    • If the user is not logged into the Betterworks platform, clicking on the link will take the user to the login page, and redirect to the respective goal , post login to the Betterworks platform

      Once the user selects the goal, clicking on Create the action plan:

Editing an action plan which was created as a key result to an objective

  • The users will be able to edit the Action plan on Engage by clicking on Action plan→ Edit , in the action plan center page

    • Users can click on the “See linked key result” CTA to go to the key result page in Betterworks

      • E.g. Users can use this link to make changes to the key result’s properties which are not available in Engage (Setting up the metrics, Range )

  • The users will also be able to edit the KR (created from the action plan), through the Betterworks platform

  • Users will be able to link an KR to the Action plan, where no objective or KR was linked at the time of creation of the particular Action plan

    • They will be able to Edit the respective Action plan and select the toggle to create a KR for the Action plan

  • Any edits to the Action plan made from Engage, should not flow to the Betterworks platform

    • Action plan name, description

    • Due date

    • Assignee

    • Status 

  • However, any edits made to the Action plan, should get updated in Engage

  • Any edits made to the objective from the Betterworks platform should not flow to the Engage platform

    • KR name, description

    • Due date

    • Status

    • Assignee

Deleting an Action plan which was created as a KR to an objective

  • The users will be able to delete the action plan (depending on the permissions setup in Engage) from the action plan center
  • The users will also be able to delete the KR (created from action plan) from the Betterworks platform
  • Deleting an Action plan should not delete the linked key result and vice versa (deleting the KR in Betterworks platform should not delete the Action plan in Engage)

FAQs

Who will be able to see my OKRs in Engage to select as part of their action plans?

The Betterworks OKR permissions will flow to the Engage platform. Only users that have view access in Betterworks would be able to see the OKRs as potential options to connect action plans to. 

If I make changes to the objective or key result name in Betterworks, will that show in Engage?

No, that information does not automatically flow over. Edits made directly in Engage or in Betterworks will only show on the corresponding platform.
