Impersonate (NextGen)

Overview

Note: If you'd like to limit access to this feature so that only Super Admins can use it, contact your Program Architect, Customer Success Manager, etc., and they will make the necessary update.

Super Admins and HR Admins (within scope) can impersonate other users within their organization. This tool can be helpful in situations where users report an issue or discrepancy that administrators cannot otherwise see on their end. 

Usage

To impersonate another user:

  1. Click Admin on the top banner menu.
  2. Select the Program Management header from the left panel.
  3. Select Impersonate.
  4. Search for and select the user. 
  5. Click Impersonate.
  6. Accept the prompt. 

During impersonation, you'll see a banner at the bottom of the page indicating which user you're impersonating and the remaining time in the session. To end the session immediately, click Stop Impersonation. Otherwise, the session will automatically time out after 1 hour. 

 

Note: If you'd like to change the default session time (up to 24 hours), contact your Program Architect, Customer Success Manager, etc. and they will make the necessary update.

FAQs

If I'm impersonating a user and I generate a report, who is the report sent to?

The report is sent to the email address associated with the user that you're impersonating.

Why don't I see a user in the impersonation list?

There are a few reasons why you may not be able to impersonate a user. 

  1. The user has never logged in. Users must log in and accept the Betterworks Privacy Policy before they can access their Betterworks account. If they have not done so, you will not be able to impersonate them. 
  2. If you're an HR Admin and attempting to impersonate another HR Admin or a Super Admin you will not be able to do so. Users cannot impersonate anyone who is at the same level or higher in the organization hierarchy. 

What do I do if I'm impersonating a user and a guide pops up? 

It's best practice not to click on or dismiss a guide. We recommend working around the guide (if possible) so that the user for whom the guide is intended can see it when they log in. 

What data is available to me when I am impersonating?

When impersonating, you will have the same view and access as the user that you're impersonating. 

Does impersonation affect a genuine user's active session?

If the user that you're impersonating happens to be logged in at the same time, they will not be kicked out of their session. 

Will users receive a notification?

Users may receive a notification when a user impersonates them and makes changes on their behalf. However, this is based on the organization's notification settings. 

Will impersonation activity be tracked?

Yes. Impersonation activity will be tracked in the Audit Logs Report
