AI (NextGen)

Note: The following article shows the NextGen user interface. Overview & Contents

The suite of integrated AI features within the Betterworks platform is designed to further simplify and streamline the performance management process for all users. With these tools, Managers gain insight faster by surfacing key performance trends, highlighting focus areas, and simplifying decision-making. Users are supported by intelligent writing assistance in Goals, Feedback, and Conversations, helping achieve structured, high-quality communication that drives alignment and growth.

1. Admin Settings (AI Feature Controls)

Feature Overview

The AI Feature Controls enable Super Admins, as well as System Admins, to directly enable or disable AI features for their own instance, without the need to request this from their Customer Success Manager. 


Key Information

  • The default status of all AI Features is disabled, until enabled at Admin level
  • Our AI model is a secure, privately hosted LLM engine 

How to use

Via > Admin > Program Management > AI Settings, Admins can use the 'Enable AI for your organisation' switch to toggle on or off all AI features.

Once enabled, Admins will then have the ability to choose which individual AI features are enabled. 

Once an individual feature is toggled on, the option is then available to choose between Enabling for all employees, or selecting only those in specific Groups/Departments.

Writing Assist

Feature Overview

Writing Assist is an upgraded AI writing assistant for both the Conversations and Feedback modules, providing richer editing control and a modern UI. 
 

How to use

20 or more characters must be entered to activate this feature.

Once activated, a suggestion will be generated, and the user will be given a suggestion improvement, as well as the option to:

  1. Select previously generated responses via the < > buttons

  2. Regenerate the provided response for more rephrasing options

  3. Adjust tone via “Modify Response” and the options therein.

  4. Copy or Replace text.

  5. Rate with 👍 / 👎 to feed back on the quality of the suggestions. 

     

Goal Assist

Feature Overview

The Goal Assist feature helps the user generate Goals based on key insights from their Betterworks profile and past performance data. Goal suggestions are based on:

  • Past Goals (from the user, their Manager, and the wider company)

  • Past Feedback & Conversations

  • If no such data exists, title and department are used.

How to use

User clicks Goal Assist to launch the feature. The timeframe selected by default will be the Current Business Period, but this can be changed as needed by using the drop-down menu.

Goal suggestions are then generated, including corresponding Milestones, and the user can select the Goals & Milestones they wish to use. A thumbs up/thumbs down rating is also available for the user to feed back on the AI suggestions. 

Developmental v Business goals are also designated by a label on each suggestion.

Once selected, click Add Selected Goals to proceed. The goals can then be edited as normal from the Goals Summary page. 

 

Goal Writing Assistant

Feature Overview

This LLM-powered real-time Goal Writing Assistant checks for key requirements in Goal writing, supporting users with setting high quality, relevant, and achievable goals. 

How to use

The Goal Writing Assistant checks run as soon as a user creates a Goal within Betterworks, with the Goal Check progress is visible whilst editing, in the top right hand corner.

The 4 rule checks performed on each goal are;

  • Goals must start with a dynamic verb.

  • Goal name must be 3 - 12 words in length.

  • 1 or more milestones must contain a metric.

  • Milestone count must be between 2 - 4

This feature also offers an AI rephrase option for the goal or milestone name, once 20 or more characters have been written. 

 

Feedback Summary

Feature Overview

The Feedback Summary feature generates summaries for Feedback received, to give a quick, cohesive overview of an employee's performance over a specified period.  


Key Information

  • At least 2 pieces of Feedback are required for the Feedback Summary to generate
     

How to use

Select the desired time period from which to generate a summary.

Please note, where Business Period is selected, it will default to the current Business Period. 
Where Custom Time Period is selected, the start and end dates will default to the current fiscal year, but this can then be amended as needed.

The AI will then aggregate feedback within that timeframe, producing summary text and a sentiment overview

Performance Summary

Feature Overview

The Performance Summary feature uses AI to combine multiple data streams (goals, conversations, feedback, recognition, calibration) for an aggregated narrative of an employee's performance. 


Key Information

Different versions of the summary will generate dependent on user scope. For example, the employee themselves, a Manager, or the HR team, would see different summaries based on their access levels and the data they are able to view.

 

The Performance Summary requires at least one data point to generate, and data is pulled from:

  • Goals (Aspirational ≥ 75%; Committed = 100%)

  • Conversations, Feedback, Recognition, and Calibration modules
     

How to use

First, select the Time Period from which the Summary should be pulled. The AI will then aggregate from across all available sources, and output a Summary, Key Achievements, Strengths, and Areas for Development.

N.B. Thumbs up/down buttons are also included for feedback on the summary, as well as a copy button to facilitate sharing elsewhere. 

 

 

1:1 Summary

Feature Overview

The 1:1 Summary feature generates AI summaries of recurring 1:1s, so that managers and employees can capture a succinct view of potential discussion themes and action items.


Key Information

The summary pulls from completed Agenda topics and notes, and requires 5 or more completed agenda topics to generate a summary.

Private notes on 1:1s will not be considered by the AI.

This feature has role-specific focus areas:

  • for Managers these are; Goals & Performance, Career Growth, Feedback & Recognition, Collaboration, Workload, Wellbeing.

  • for Employees these are; Project Execution, Collaboration, Feedback & Support, Knowledge & Insights.
     

How to use

In the 1:1 module, select a recurring 1:1 meeting with an individual colleague. This will open the AI 1:1 Summary side panel.

Select a Time Period, then the AI analyzes completed agenda items + shared notes.

A Summary will be returned along with, Areas Focused on, and Areas to Focus on next. You will also see 3 tabs (Highlights, Agenda Topics, Action Items) and can toggle between these for an additional level of detail.

 

Skills

Feature Overview

This feature generates suggestions for an employee's Skills based on Feedback, Conversations, and role data, assisting users with self-identifying strengths or development needs.


Key Information

This feature generates skills using:

  • Skill Name, Description, Sources, and AI suggestions like “I have this” or “Develop this.”

  • Data sources for these are: Feedback, Conversations, Job Title, Job Description (if available).
     

Usage

This feature is accessible via Skills section on User Profile. Select a Time Period and click Generate.

The AI analyzes available data, extracts themes, and suggests Skills both as examples that the user has, or may wish to develop. The source of the suggestion is also identified where applicable.

You can then click on one of the generated examples to expand this in a sidebar, and then either Dismiss if not relevant, or set the intent, current skill level, and Add Skill.
