Program Emails (NextGen)

Overview

Program emails are similar to system notifications, but rather than notifying users about what actions have been taken, they are notified about what actions should be taken to stay on track with their organization's Betterworks program. The two processes that program emails track are:

  • Creating goals
  • Completing conversations 

Setup

  1. Set your organization's time zone by: 
    1. Clicking Admin
    2. Selecting Platform Configuration
    3. Selecting Settings
    4. Selecting the applicable Time Zone.



       
  2. Set your organization's business periods by: 
    1. Clicking Admin.
    2. Select Platform Configuration
    3. Selecting Settings
    4. Scrolling down to Business Calendar
    5. Enter the applicable fiscal year. 
    6. Select the divide (e.g., Quarterly, Annually, etc.).

Program Emails for Goals

As your organization's Betterworks Program Lead, you'll want to ensure that employees are not just creating these goals and milestones, then forgetting about them. New priorities may arise, the needs of the organization may shift, and employees may have decreased/increased bandwidth. As such, employees should regularly track their goal progress throughout the business period. Program emails eliminate the need to send reminders at certain intervals by automating the process. 

  1. Select which program emails to enable and when they'll be triggered by:
    1. Clicking Admin.
    2. Select Program Management
    3. Selecting Notifications
    4. Select Program Emails.
    5. Selecting Schedule
    6. Enabling applicable program emails.
    7. Entering the applicable days to trigger them. 




       
  2. Select program emails to go out ad-hoc by:
    1. Clicking Admin
    2. Selecting Program Management
    3. Selecting Notifications
    4. Select Program Emails
    5. Selecting Goals
    6. Selecting which email to send. 
    7. Clicking View and Send emails
    8. Reviewing the email. 
    9. Clicking Send

 

FAQs

Can I customize the text in the program emails? 

Program emails will always include the specific name of the employee, your organization's logo, and custom naming. However, you cannot customize the text. 

Can I specify which employee groups receive the program emails?

Program emails are automatically sent to subsets of employees based on specific, hard-coded criteria. Those criteria cannot be broken down further (e.g., Jane can trigger a program email to all employees who haven't created a goal yet. However, Jane cannot trigger a program email to employees who haven't created a goal and who are part of the Finance department.

Will program emails be sent on weekends? 

Program emails are automatically configured to skip weekends. They will be sent the next available weekday.
