Mass Upload of Historical Data to User Talent Profile (NextGen)

Betterworks offers the ability to upload historical employee documents (such as certifications, past performance reviews, or agreements) directly to employee Talent Profiles.


Step 1: Notify Betterworks

Contact your Betterworks team to let us know you’d like to perform a mass upload.


Step 2: Prepare Your Files

  • Compile your PDFs.

  • Follow the file requirements and naming guidelines below.

File Requirements

  • Format: PDF only.

  • File size: Each file must be under 1 GB.

    • Note: The SFTP is backed by S3 and streams files in chunks, so large files are supported.

  • Multiple PDFs per employee are supported — each will display separately in the employee’s Talent Profile.

File Naming Guidelines

  • Filenames must include the employee’s Employee ID in double underscores:
    <employee_id>

  • Files without this format will not be processed.

  • The rest of the filename is flexible — we recommend including a year or description.

    • Example: __123456__John_Smith_2022_PastPerformance.pdf


Step 3: Upload to SFTP

  • Place the files in your company’s SFTP under:
    external_reports > source

  • Testing can first be done in your Test Environment before uploading to Production.


Step 4: Notify Betterworks Support

Once files are uploaded, notify Betterworks Support. Our team will:

  1. Run the processing job.

  2. Confirm once files have been successfully processed.

  3. Share any errors if files fail, so they can be corrected and resubmitted.


Step 5: Access in Talent Profiles

  • Successfully processed PDFs will appear in the employee’s Talent Profile.

  • Files are visible to:

    • The employee

    • Their manager

    • Super Admins / HR Admins


Managing Files

Admins can delete PDFs at any time by:

  • Removing them from the SFTP server, or

  • Selecting the Trash icon directly in the employee’s profile.
