Using Feedback (NextGen)

Note: The following article shows the NextGen user interface. If the steps and/or screenshots do not match what you see in your organization's Betterworks instance, try this article that shows the same feature in the Classic user interface.

We’ve redesigned and rebranded the Feedback Overview page to 'To Do', focusing on clearer structure and improved usability. The updated layout enhances navigation, making it easier for users to understand priorities and move between tasks efficiently. This change aims to streamline the user experience and support more intuitive workflow management.

Anytime Feedback

In order to utilize anytime feedback, the Feedback module must be enabled and the individual anytime feedback templates must be active (aka "deployed"). Super Admins can reconfigure the default feedback templates and/or add their own. For more information on the process, see this article

Requesting Feedback for Yourself

To request feedback for yourself:

1. Go to Feedback → Overview

Note: If you're a manager, you'll have a drop-down menu that includes your direct reports. 

2. Click "Anytime Feedback" to trigger the pop-up modal:

3. Dependent on your organization's feedback templates, you may have the option to select from a list of different templates, simply click or start typing to view the available template(s). 

4. Dependent on your organization's feedback templates, you may have the option to edit the feedback question.

5. Select one or more providers. 

You will be able to see the Visibility settings of the chosen template, the Description, and the questions which will be asked about you. 

6. Click "Request"

Once requested, a green banner will display across the top of the page. You will then be able to see the pending request indicating the provider, feedback name, feedback type, Requested on and Due dates. 

Clicking View will take you to an overview of the feedback being requested, including the Description and questions. Those giving and receiving feedback will also be able to view a sidebar on the right hand side, showing the recipient's goals for reference when completing the feedback. This can be minimized if not required using the arrow button.

Requesting Feedback for Your Direct Report

To request feedback for your direct report:

1. Go to Feedback → Reporting Line

2. Click the Anytime Feedback button in the top right

3. In Feedback Recipient, select your direct report

4. In Template, select the feedback template you wish to request this via.

4. Dependent on your organization's feedback templates, you may have the option to select from a list of different templates, simply click or start typing to view the available template(s). 

5. Select one or more providers.

6. Click 'Request'

Once requested, a green banner will display across the top of the page. You will then be able to see the pending request indicating the provider, recipient, feedback name, feedback type, Requested on and Due dates. 

Clicking View will take you to a more detailed view of the feedback being requested, including the Description and questions. Those giving and receiving feedback will also be able to view a sidebar on the right hand side, showing the recipient's goals for reference when completing the feedback. This can be minimized if not required using the arrow button.

Note: The feedback due date is also dependent on the feedback template configuration.

 

Giving Feedback Unprompted

To give feedback unprompted: 

1. Go to Feedback →  My Feedback → Overview → Give.

2. In Feedback Recipient, click to select the recipient

3. In Template, click to select from the available templates

Once chosen, the modal will expand to show a more detailed view of the template, including the description and questions so you can verify that this is the correct template.

4. Click 'Start Feedback' - this will open a new page for you to complete the template.

6. Enter your responses to the questions

7. Click 'Give Feedback' in the top right hand corner - this will launch a popup, giving a final chance to check the visibility of your responses and their content before submission.

8. Click 'Give Feedback' to submit.

Note: If you enter feedback, but don't click "Send", the content will be saved as a draft.

Once you've submitted the feedback, it will display under Feedback →  My Feedback → Given. You'll see other completed requests (if applicable) indicating the recipient, template name, feedback type, and sent date. Click 'View' to expand the form and view details including your responses, and who has visibility over this feedback.

There is also a date filter on this list view, where you can choose from pre-defined or custom date ranges to narrow down or expand the list of feedback in your view.

Giving Feedback That Was Requested

To give feedback that was requested:

1. Go to Feedback →  My Feedback → Overview → Feedback Request of You

2. Click 'Give' to go into the feedback form

3. Enter your feedback. You can collapse or expand the right-hand Goals sidebar for broader context on the recipient's goals. 

Note: If you enter feedback, but don't click "Send", the content will be saved as a draft.

4. Click 'Give Feedback' in the top right hand corner - this will launch a popup, giving a final chance to check the visibility of your responses and their content before submission.

8. Click 'Give Feedback' to submit.

Once you've submitted the feedback, it will display under Feedback → My Feedback → Given. You'll see other completed requests (if applicable) indicating the recipient, template name, feedback type, and sent date. Click 'View' to expand the form and view details including your responses, and who has visibility over this feedback.

 

Declining A Feedback Request

To actively decline a request: 

1. Go to Feedback →  My Feedback → Overview → Requested of You

2. On the individual feedback request, next to the 'Give' button, click the X to decline the request.

This will open a modal where you can add a reason for your declining.

3. Click 'Decline Request' to finalize the decline.

To passively decline a feedback request, simply take no action until the due date has passed. 

Note: If you actively decline, the direct report or their manager (depending on who submitted the request) will be notified. Also, whether you actively or passively decline, your name will be removed from their pending list (under Feedback → My Feedback → Request) and the direct report or their manager can resubmit the request.

 

Viewing Feedback Given To You

Note: Visibility is configured in the feedback template and may vary. Feedback may be given about you, but only visible to your manager or your organization's administrators. If a feedback template has been configured so that providers remain anonymous, administrators won't be able to see the provider of their own feedback in reports.

To view anytime feedback given to you:

1. Go to Feedback → My Feedback → Received.

2. You can use the date filter, or search for participants to narrow down the number of feedbacks visible. 

3. Click 'View' to expand the form and view the responses to the feedback questions about you.

 

Viewing Feedback Given to Your Direct Report

Note: Visibility is configured in the feedback template and may vary. Feedback may be given about your direct report, but only visible to them or your organization's administrators. If a feedback template has been configured so that providers remain anonymous, administrators won't be able to see the provider of their own feedback in reports.

1. Go to Feedback → Reporting Line  → Your Directs → select a team member → Received.

2. You can use the date filter, or search for participants to narrow down the number of feedbacks visible. 

3. Click 'View' to expand the form and view the responses to the feedback questions about you.

 

Manager Change

If there is a manager change after feedback is requested, but before it's been given, the new manager will not see the pending request (under Feedback → My Feedback → Overview). However, they will see the feedback content once it's been submitted — provided that the feedback template was configured to give managers visibility. 

Also, when a direct report is assigned to a new manager, the new manager gains access to that direct report's past feedback — provided that the respective feedback templates were configured to give managers visibility.

Scheduled Feedback

In order to utilize scheduled feedback, the Feedback module must be enabled and the individual scheduled feedback templates must be active (aka "deployed"). Super Admins can reconfigure the default feedback templates and/or add their own. For more information, see this article.

Request Feedback for Yourself

1. Go to Feedback → My Feedback → Overview

2. Under Select Feedback Providers, you will find a list of feedback form(s) which required selections.

3. Click 'Select Providers
Depending on your Organization's Feedback settings, Providers may already have been selected for you. If this is the case, you are still able to select additional providers if you wish to do so.

4. This will open a new page;

5. In the Feedback Providers field, search for a person, select their name, and click 'Add Providers' to add. Once successfully added they will appear in the Feedback Provider list below.

6. To remove any of the suggested people already in the Feedback Providers list, click the trash can icon on the left of the user. 

Any users you add will receive the request via email once added.
 

Request Feedback for Your Direct Report

1. Go to Feedback → Reporting Line  → Your Directs → select a team member → Request.

2. Feedback Recipient will be selected in that field based on which team member you selected on the previous page, but this can also be changed here.

3. In Template, select a feedback template

4. In Providers, select (multiple) feedback providers

5. Scrolling down within this modal will show an overview of the feedback template you have selected, including the name, description, visibility settings, and questions.

5. Click Request.

Once requested, a green banner will display across the top of the page. You will then be able to see the pending request indicating the provider, feedback name, feedback type, Requested on and Due dates. 

Scheduled Feedback requests for your Direct Reports can be viewed via Feedback → Reporting Line  → select a team member → Requested.

 

Giving Feedback That Was Requested

To give feedback that was requested:

1. Go to Feedback → My Feedback  → Feedback Requested of You

2. Click 'Give' to open the feedback form. This will show a detailed overview of the Feedback recipient and requester, visibility settings, and the questions to respond to.

3. Enter your feedback.

4. Click 'Give Feedback'. This will open a modal confirming the visibility settings of the questions in the form.

5. Click 'Give Feedback'

Note: If you enter feedback, but don't click "Send", the content will be saved as a draft.

Once you've submitted the feedback, it will display under Feedback → Given. You'll see other completed requests (if applicable) indicating the recipient, template name, feedback type, and sent date. Click 'View' to expand the form and view details including your responses, and who has visibility over this feedback.

 

Declining A Feedback Request

To actively decline a request: 

1. Go to Feedback → My Feedback  → Feedback Requested of You

2. Click 'Give' to open the feedback form. 

3. Click 'Decline request' in the top right. This will launch a modal where you can provide more context on your decline, if desired.

Note: If you actively decline, the direct report or their manager (depending on who submitted the request) will be notified. Also, whether you actively or passively decline, your name will be removed from their pending list (under Feedback → Request) and the direct report or their manager can resubmit the request, provided that the nomination period hasn't already ended or the feedback template has been configured to include a nomination grace period.

If a feedback template has been configured so that providers remain anonymous, administrators won't be able to see the provider of their own feedback in reports.

To view scheduled feedback given to you:

1. Go to Feedback → Received.

2. Click View to expand a form and read through the responses.

 

Viewing Feedback Given to Your Direct Report

Note: Visibility is configured in the feedback template and may vary. Feedback may be given about your direct report, but only visible to them, your manager (their skip level manager), or your organization's administrators. If a feedback template has been configured so that providers remain anonymous, administrators won't be able to see the provider of their own feedback in reports.

1. Go to Feedback → Reporting Line → select a team member → Received

2. Click View to expand a form and read through the responses.

 

Viewing Feedback As A Skip Level Manager

Note: Visibility of feedback is configured in the feedback template and may vary. Feedback may be given about your skip level report, but only visible to them, their manager, or your organization's administrators. If a feedback template has been configured so that providers remain anonymous, administrators won't be able to see the provider of their own feedback in reports.

1. Go to Feedback → Reporting Line 

2. Select the 'One Level'  'Two Levels' or 'All' tab to filter to the correct level of skip level reports

3. Select the user whose feedback you wish to view

4. Click View to expand a form and read through the responses.

 

Request to Edit

In order to edit a feedback response or decline the request after the deadline, you'll need to submit a request to your organization's administrators. 

This can be done by:

  1. Go to Feedback → Given 
  2. In the top right hand corner click 'Request to Edit'

This action will add your name to the list of requests that are sent via automated email to the organization's administrators at approximately 5pm (in your organization's time zone). If the request is approved, you'll receive an automated email informing you of the decision. You'll then have an additional 7 days to reshare your feedback. During this time, your feedback form will disappear from the requester's view. If the feedback is not edited within the 7-day window, it will be reshared as is. If your edit request is denied, no email will be sent given that an administrator will likely reach out to you directly to discuss the policy and/or reason.
 

Note: If the "Feedback Edited" notification is enabled in System Notifications (Admin → Program Management → Notifications → System Notifications), either the feedback recipient or their manager will receive a notification. Who receives the notification is dependent on the feedback template's configuration.  

FAQs

Is there a limit to how many feedback providers can be selected? 

There is no limit to how many feedback providers you can nominate/select. However, if a user has been requested as a feedback provider 5-6 times, a message will display notifying the requester that the user has a high # of requests. Despite this, the requester will still be allowed to continue.  

What happens to feedback that is written, but not shared by the due date? 

Feedback that is not shared by the due date will be cleared from the application.

Why am I not receiving Slack notifications for Feedback (i.e. [User], wants your feedback. Please provide feedback by [Date])? 

This relates to the Settings your Administrators have set up on the feedback template. If "Feedback has started" from Step 6 is disabled, feedback participants will not receive Slack notifications for feedback.
