Overview
Betterworks has many default fields. When populated, much of the user data can be leveraged when viewing reports, creating groups, and defining an HR Admin’s scope. Adding custom fields bolsters these capabilities.
Example: Many users in Madison’s organization have a certification or license. For compliance purposes, her organization needs to track what types they are when they expire. Madison can create custom fields to address this need.
Creating the Fields
- Log in to Betterworks.
- Click Admin (bottom of the left-side panel).
- Click User Management.
- Select Users from the drop-down menu.
- Click Custom Fields (top tab).
- Click Create Custom Field (top-right corner).
- Enter the field details.
- The Custom Field Label is how the field will appear in Betterworks reports.
- The Custom Field Key is how the field will appear on the backend.
Note: When uploading or sending data to Betterworks, the column headers in your file must contain the custom field keys, not the custom field labels. Otherwise, the data cannot be read.
- Click Create.
- Review the field details for accuracy and completeness.
Populating the Fields
User data for custom fields cannot be entered or updated from the Betterworks user interface. It can only be entered or updated through a file upload, the Betterworks SFTP server, or the UKG integration (in limited capacity).
(Optional) Verifying the Fields
Custom fields are not visible in User Management. However, you can quickly verify that the user data is present by generating a report.
- Log in to Betterworks.
- Click Admin (bottom of the left-side panel).
- Click Program Management.
- Select Reports from the drop-down menu.
Note: The following steps refer to the Goals Report, but you can select any report other than Logs.
- Click Goals (top-left tab).
- Select Goals from the Report drop-down menu.
- Enter the Business Period.
- Click Email Report.
- Click Download in the email.
- Open the report and scroll to the far right.
- You should see the newly created custom fields.
- You should see the newly created custom fields.
Deleting the Fields
- Log in to Betterworks.
- Click Admin (bottom of the left-side panel).
- Click User Management.
- Select Users from the drop-down menu.
- Click Custom Fields (top tab).
- Find the specific custom field.
- Click the three horizontal dots under Actions.
- Select Delete from the drop-down menu.
- Review the prompt carefully.
- Click Yes if you would still like to delete the custom field.
FAQs
What is the difference between a custom field label and a custom field key?
The custom field label is the name that appears in reports, while the custom field key is the identifier for that field. When uploading or sending data to Betterworks, the column headers in your file must contain the custom field keys, not the custom field labels. Otherwise, the data cannot be read.
