Docebo Integration (NextGen)

Overview

The Docebo integration connects Betterworks with Docebo's Learning Management System (LMS), allowing employees to track learning and development goals within the Betterworks goal framework.

With the integration, employees can search for Docebo courses, connect one or more courses to goals or milestones, and automatically sync learning progress between Docebo and Betterworks. This reduces the need to manually update learning-related goal progress and gives employees and managers better visibility into learning progress.

The integration includes:

  • A course search interface when creating or editing a goal or milestone.
  • Course details and multiple course selection.
  • Course progress and status in the Key Result view.
  • A Docebo logo that identifies linked items.
  • Administrator configuration and connection management.
  • Last sync date and time for administrators.

Configuration

Configure OAuth in Docebo

A Docebo administrator must create an OAuth2 application before configuring the integration in Betterworks.

  1. In Docebo, go to Admin Menu API & SSO, then select Manage.
  2. Open the API Credentials tab.
  3. Select Add OAuth2 app.
  4. Enter the required application details.
  5. Set the Redirect URI to:

    https://app.betterworks.com/services/authn-proxy/oauth2/callback

  6. Under Advanced settings, select Authorization code + implicit grant.
  7. Select Confirm. The Client Secret ID is generated automatically.

Enable Docebo in Betterworks

  1. In Betterworks, go to Admin Platform Configuration Integrations.
  2. Locate the Docebo Integration. The integration is initially disabled.
  3. Turn on the Docebo Integration toggle.

  4. Enter the Subdomain Name.
  5. Enter the Client ID and Client Secret created in Docebo.
  6. Select Create.
  7. Complete authentication on the Docebo page to which you are redirected.
  8. After authentication is complete, confirm that the Docebo Integration appears in the enabled section.

Configure the Docebo webhook

After the Betterworks connection is created, the administrator can view the webhook information in the integration's Details section.

  1. In the Betterworks Admin page, open the Docebo integration Details section and copy the webhook information.
  2. In Docebo, go to Admin Menu Webhooks Manage.
  3. Select Add Webhooks.
  4. Enter a Webhook name.
  5. Enter the Payload URL copied from the Betterworks Details section.
  6. Select Next.
  7. Use Search to add the required events. 
  8. Select Save.
  9. Edit the webhook and open the Endpoint Info tab.
  10. Select Enable Basic Auth.
  11. Enter the Username and Password copied from the Betterworks integration Details section.
  12. Select Save Changes.
  13. Use Actions to activate the webhook.

View the last sync time

Administrators can view the last synchronization date and time from the Docebo integration in the Betterworks Admin interface.

Edit the Docebo connection

Administrators can edit an existing connection to update its Subdomain Name, Client ID, and Client Secret.

  1. Open the configured Docebo integration.
  2. Select Edit.
  3. Update the Subdomain Name, Client ID, or Client Secret as needed.
  4. Save the changes. 

Remove the Docebo connection

An administrator can remove the organization-level Docebo integration by selecting Remove This Connection. Removing the connection stops Key Result progress updates and removes the Docebo integration instance.

Usage

Connect Docebo courses to a new goal

  1. Go to Goals Create a Goal/Milestone.
  2. Enter the required goal or milestone details.
  3. Select Progress will automatically update when you connect an application below.
  4. Select Connect. A course search window opens.
  5. Enter your search criteria in the search box.
  6. Select one or more courses from the matching results.
  7. Review the courses under Selected Courses.
  8. Select Update.
  9. Confirm that the selected courses appear with their corresponding status.
  10. Select Publish to make the goal or milestone live.

After the goal or milestone is published, its progress updates based on the connected course progress. Users can view the status of each connected course under Automatic Progress Update Settings.

Edit courses connected to a goal

  1. Go to Goals and locate the goal.
  2. Select the 3 dots menu.
  3. Select Edit.
  4. Select Edit for the connected courses to open the course search window.
  5. Search for and add new courses, or remove previously selected courses.
  6. Select Update to save the course selection changes.

View Docebo course progress

Connected course progress is displayed in the Key Result view. Linked items also display the Docebo logo.

  1. Open the applicable goal.
  2. Select the progress bar to open the Update Progress window.
  3. Review the progress percentage and the status of connected courses.
  4. Optionally, add a comment.
  5. Select Update.

Comments can be viewed under Actions Comments.

Remove Docebo from a goal

Users can remove the Docebo integration from an individual goal. Removing the connection from the goal stops its Key Results from receiving progress updates from Docebo.

 

FAQs

Can I connect multiple Docebo courses to a single goal?

Yes. The Docebo integration supports selecting multiple courses. When creating or editing a goal, you can search for and select multiple Docebo courses to connect.

What happens when I remove Docebo from a goal?

The goal's Key Results stop receiving progress updates from Docebo.

How is Docebo course progress displayed?

The progress status appears in the Key Result view. Users can also open the Update Progress window to view the progress percentage and the status of connected courses.

How are in-progress courses calculated?

A course that is in progress or has been started is assigned a value of 0.5, regardless of the user's course completion percentage. When the course is fully completed, the value changes accordingly.

What is the last sync time?

The last sync time shows administrators the most recent date and time when synchronization occurred. It is available from the Docebo integration in the Betterworks Admin interface.
